Introduction to Generate a QR Code for Event Check-In

The QR Code Check-In feature allows you to streamline attendance tracking at in-person group events. Instead of manually marking attendees, participants scan a QR code to confirm their presence — making the check-in process faster and more accurate.

Only registered attendees can check in via QR code. If someone who is not registered tries to scan it, they will see the message: "Access denied. You are not an attendee of this event. Please contact the event organizer to get access."

Where to Find the Check-In QR Code

Open the group event you want to manage (create or edit), and navigate to the Attendees tab. There you will find the Check-In QR Code section.

Step-by-Step

1. Generate the QR Code
  • Click Generate a QR Code to create a unique check-in code for your event.
  • The QR code will appear on screen, ready to be shared or printed.
2. Download or Regenerate
  • Click Download to save the QR code as an image file — you can print it for display at the event or share it digitally.
  • If needed, click Regenerate to create a new QR code.

Regenerating replaces the existing QR code immediately. All previously distributed QR codes become invalid and can no longer be used for check-in.

3. Restrict the Check-In Window (Optional)

To limit when attendees can check in:

  • Enable the Restrict Check-In Window toggle.
  • Set the number of minutes before the event start time when check-in opens.
  • Set the number of minutes after the event start time when check-in closes.

This ensures the QR code is only scannable within the defined time window, preventing early or late check-ins from being recorded.

Best Practices

  • Print and display the QR code at the event entrance. A printed copy is the most reliable option for in-person events — no connectivity issues, no screen glare.
  • Use the check-in window to keep attendance data accurate. Restricting check-in to a specific time window prevents attendees from scanning too early or too late, which can skew your attendance records.
  • Avoid regenerating the QR code after distributing it. Once shared, a regenerated code will invalidate all previously distributed copies — only regenerate if you need to invalidate existing codes intentionally (e.g. in case of a security concern).
  • Make sure attendees are registered before the event. Since unregistered users cannot check in, confirm your registration list is complete before the event starts to avoid access issues on the day.
