Introduction to Managing Events as an Administrator

The Event Management hub is your central mission control for all platform activities. As an administrator, this dashboard allows you to oversee the entire lifecycle of an event—from drafting and planning to real-time attendance tracking and post-event reporting.

By centralizing these tools, AcceleratorApp helps you resolve scheduling conflicts, maintain a clean community calendar, and extract valuable participation data to measure program engagement.

Where to Find the Event Management Page

Navigate to the Events module in the top navigation bar. From there, you can navigate between four specialized views: Event Feed, My Events, Event Planning, and Unpublished Events.

Step-by-Step

Navigate the Event Tabs

1. Navigating the Management Tabs

Each tab serves a specific administrative purpose.

  • Event Feed: This is the "Public" mirror. It shows all events currently published, in Grid or Calendar formats.

  • Filters: Event Timing (Today onwards/Past), Type (Group/1:1), Tags, Hosts, Topics, or Creator.

  • My Events: Your personal schedule. Use this to track sessions where you are personally involved. -Filters: Participation Type (Hosting, Participating, Registered), Timing, Type, Tags, and Topics.

  • Event Planning: The primary Admin-only dashboard. -Filters: Status (Draft, Published, Pending Host Availabilities, Archived), Participation Type, Timing, Type, Tags, and Topics.

  • Unpublished Events: A focused view specifically for Drafts. -Filters: Created by me, Status, Type, Tags, and Topics.

2. Managing Live & Upcoming Events

When an event is active or approaching, you have several real-time management capabilities:

  • Modify Details: You can edit any field (location, time, host). Important: Changing a published event triggers the "Group Event Update" automated email. To avoid spamming users for minor typos, disable this template in Email Management before saving.

  • Manage Attendees: Open the event and navigate to the Attendees tab. -Search & Filter: Find specific users within the registration list. -Deregister: Manually remove a participant if they can no longer attend. -Register on Behalf: In the "All" table, Admins can manually add users who missed the registration window.

3. Post-Event Actions & Reporting

Once an event has concluded, the work shifts to data collection:

  • Mark Attendance: Go to the Attendees list and update statuses to Attended or No-show. This is critical for generating engagement metrics for your startups.
  • Export Data: Click the Export button to generate an Excel file.
  • Tip: Use the Column Selector before exporting to include specific fields like "Startup Name" or "User Tag."
  • Follow-up Communication: Use the Overview tab to send a standalone email to only those who "Attended," perhaps sharing the event recording or a feedback form link.

Best Practices

  • Clean Your Workspace: The Unpublished Events tab can get cluttered. Periodically delete old or abandoned drafts to keep your Event Planning view focused on active sessions.
  • Address "Pending" Status: If an event is marked "Pending Host Availabilities," it is not yet visible to your users. This usually means the host needs to sync their calendar or set their time slots. Check this status frequently to avoid launch delays.
  • Communication Strategy: Remember that automated emails are shared across events. If you need a unique message for a specific high-profile event, use the Standalone Email option in the event's Overview tab instead of editing the global template.
  • Feedback Loops: Use the Request Tool to automate post-event surveys. This can be sent specifically to the "Attended" list to gather insights for future program improvements.
