Introduction to User Management
User Management gives Admins and Sub-Admins full control over the people in their ecosystem — from changing roles and statuses to managing programs, tags, and integrations, all from one centralized page.
Where to Find User Management
There are two ways to access User Management:
- From the top-left menu icon — select User Management from the main navigation.

- From the Community section — click on Community in the top menu, then select User Management from the left sidebar.

The User Management page displays a table with all users on your platform. Each row includes the user's full name, role and type, status (Pending, Active, or Inactive), created date, startup (if they own one), user programs, and whether their calendar is linked.
At the top of the page you will find a search bar to filter by name or email, filters for user role, status, tag, industry, and user program, an Add New User button, and an Export button.
Step-by-Step
1. Quick Actions from the Table
From any row in the user table:
- Checkbox — select one or multiple users to assign a user role in bulk.
- Three dots (next to the user's name) — gives you the option to go directly to the user's profile or copy their email address.
2. Manage an Individual User (Gear Icon)
Click the gear icon in the Actions column to access all individual user management options:
- User Role — change the user's role, which updates their permissions and access across the platform.
- Programs — add or remove user programs. Note: this manages user programs only, not startup programs. See the note on Programs below for more context.
- User Tags — add or remove tags assigned to that user.
- Industries — add or remove industry associations.
- Status — toggle between Active and Inactive/Archived. An inactive user cannot log in, but all their data (applications, profile information, etc.) is preserved. Use this instead of deleting when you need to retain records.
- Resend Invitation — available only when the user's status is Pending, meaning they have not yet validated their email and created their account.
- Availabilities — visible and editable for user roles that offer services to startups (e.g. mentors, evaluators). You can edit their availability on their behalf.
- MFA Reset — if Multi-Factor Authentication is enabled, you can reset it for the user from here.
- User Keys & API Keys — view the user's existing keys and add a new API key. API keys can be used for calendar integration, Zapier, or the public API.
- Delete — permanently removes the user and all associated data. This action cannot be undone — use Archive/Inactive instead when data retention is needed.

3. Add New Users
Click the Add New User button in the top-right corner of the page to add users manually or in bulk.

To add users manually:
- Fill in the required fields: First Name, Last Name, Email, and Access (user role).
- Optionally assign them to a program.
- Click Add Another to add more users in the same flow without submitting yet.
- Click Send Invite when done — each user will receive an invitation email to activate their account.
To add users in bulk:
- Click Bulk Import and upload a CSV file with the user information.
- All imported users will also receive an invitation email automatically.
- The invitation email sent to new users can be customized in Emails Management. Make sure it is configured before adding users if you want to personalize the message.
When assigning a program during user creation, this means the user will participate in that program as a member — not that they will serve the program in their professional role. For example, adding a mentor to a program here makes them a participant of that program, not a mentor assigned to coach startups within it. Note: AcceleratorApp has two types of programs: user programs and startup programs. They serve different purposes and are managed separately. 4. Export User Data
Click the Export button to download user information to an Excel file. The export includes both the data visible in the table and the custom fields from each user's profile.
Best Practices
- Use Inactive/Archive instead of Delete. Archiving preserves all data associated with the user — applications, sessions, and profile information — while preventing login. Deletion is permanent and irreversible.
- Use bulk role assignment for onboarding. When adding a new cohort of users, use the checkboxes to select them all and assign the correct role in one action instead of doing it one by one.
- Resend invitations to Pending users. If a user has not activated their account, their status will show as Pending — use the gear icon to resend the invitation directly from the table.
- Be mindful when assigning programs during user creation. Assigning a program at this stage makes the user a participant of that program — it does not connect them in a professional capacity such as mentoring. Use the appropriate tools for role-based assignments.
- Review user roles regularly. Permissions change as programs evolve — periodically audit your user roles to ensure everyone has the appropriate level of access.
- Export user data periodically. Regular exports are useful for record-keeping, reporting, and cross-referencing with external systems.
